Diag On Demand Privacy Policy

Diag On Demand (“Diag On Demand,” “we,” “us,” or “our”) operates the DOD Invoice Generator and related automotive diagnostic and invoicing services.

This Privacy Policy describes the information we collect and process when the DOD Invoice Generator is used and explains how that information is handled.

1. Information We Process

Depending on how the Application is used, we may process the following information.

Vehicle and repair information may include:

Vehicle Identification Number (VIN).
Vehicle year, make, and model.
Repair order number.
Estimate number.
Automotive diagnostic information.
Calibration information.
Requested services.

Customer and business information may include:

Customer or company name.
Business address.
Contact information.
Billing information.
QuickBooks customer identifiers.

Invoice information may include:

Invoice number.
Invoice date.
Service descriptions.
Service pricing.
Supporting PDF documents.
QuickBooks invoice identifiers and synchronization information.

Uploaded content may include photographs, repair orders, estimates, scanned documents, and handwritten notes submitted to the Application.

Account and technical information may include:

User authentication information.
Application activity.
Error and system logs.
Device or browser information used for security and troubleshooting.

2. How We Use Information

We use information to:

Analyze repair-order and estimate images.
Extract vehicle and service information.
Generate invoices.
Calculate authorized pricing.
Create and manage invoice records.
Connect to QuickBooks Online.
Create QuickBooks invoices.
Attach supporting documentation to QuickBooks transactions.
Prevent duplicate transactions.
Authenticate users.
Maintain security.
Diagnose technical problems.
Improve Application reliability and functionality.

3. Artificial Intelligence and Document Processing

The Application may use automated or artificial-intelligence-assisted technology to analyze uploaded images and documents.

Information contained in an uploaded image may be transmitted to a service provider for the limited purpose of extracting information necessary to perform the requested workflow.

Automated systems may make mistakes. Users are expected to review extracted information before completing transactions.

4. QuickBooks and Intuit Data

When a user authorizes the Application to connect to QuickBooks Online, the Application may access QuickBooks information necessary to perform invoicing functions.

This may include:

Company identifiers.
Customer records.
Product and service records.
Invoice records.
Invoice identifiers.
Attachments.
Authentication tokens necessary to maintain the authorized connection.

QuickBooks credentials and OAuth tokens are used only to provide the authorized integration.

We do not sell QuickBooks data.

QuickBooks data is processed in accordance with this Privacy Policy and is also subject to Intuit’s applicable terms and privacy practices.

5. Service Providers

We may use service providers to operate the Application, including providers of:

Cloud databases and hosting.
Authentication.
Artificial intelligence and image analysis.
Accounting integrations.
Document generation.
Security and system monitoring.

These service providers may process information only as necessary to provide their services to us.

Our technology providers may include Intuit/QuickBooks, Supabase, and OpenAI, depending on the functionality being used.

6. How We Share Information

We do not sell personal information.

We may disclose information:

To service providers that help operate the Application.
At the direction of an authorized user.
When necessary to complete an accounting or invoicing transaction.
To comply with a lawful request, court order, or legal obligation.
To protect the rights, security, or property of Diag On Demand, our customers, or others.
In connection with a merger, acquisition, restructuring, or transfer of business assets.

7. Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information.

These measures may include:

Authentication controls.
Restricted database permissions.
Encrypted network communications.
Server-side storage of confidential API credentials.
OAuth-based QuickBooks authorization.
Role-based access controls.
Logging and monitoring.

No electronic system can guarantee absolute security.

8. Credential and Token Security

Sensitive third-party credentials, including QuickBooks client secrets and OAuth refresh tokens, are not intended to be stored directly in the Chrome extension.

Sensitive integration credentials are stored and processed using secured server-side systems.

9. Data Retention

We retain business and invoice information for as long as reasonably necessary to:

Provide the Application.
Maintain business and accounting records.
Resolve disputes.
Meet legal, tax, contractual, and regulatory requirements.
Maintain security and audit records.

Temporary authorization data may be deleted after it is used or expires.

Data may be retained longer when required by law or legitimate business needs.

10. Data Accuracy

Users may review and correct extracted information before creating an invoice.

Authorized users may contact Diag On Demand regarding inaccurate information maintained through the Application.

11. Your Choices and Rights

Depending on applicable law and your relationship with Diag On Demand, you may request:

Access to information associated with you.
Correction of inaccurate information.
Deletion of information when legally permissible.
Information regarding how your data is processed.

Certain records may need to be retained for accounting, tax, legal, fraud-prevention, or contractual reasons.

12. QuickBooks Connection and Revocation

Authorized users may disconnect the DOD Invoice Generator from QuickBooks Online through Intuit’s application-management tools or by contacting Diag On Demand.

Disconnecting QuickBooks prevents future API access but may not automatically delete historical invoices or business records that were previously created.

13. Children’s Privacy

The DOD Invoice Generator is intended for business use and is not designed for children under the age of 13.

We do not knowingly collect information from children through the Application.

14. Changes to this Privacy Policy

We may update this Privacy Policy as our services, integrations, or legal requirements change.

Any updated version will be posted on this page with a revised effective date.
